Contract Templates

Contract templates are your rental agreement, written once and reused on every booking with the blanks filled in automatically.

Creating a template

Settings → Contract Templates → New.

Paste your existing agreement into the rich text editor. Formatting, headings, numbered clauses, and tables all survive the paste.

Then replace every blank with a merge tag.

Merge tags

A merge tag is a placeholder that resolves when the agreement is rendered onto a booking. Instead of writing "between the Fairgrounds and _________", you write it with the renter-name tag, and the rendered agreement says the renter's name.

Tags are available for:

The editor lists the available tags so you do not have to remember them.

Write the money clauses with tags

Deposit amounts and due dates typed by hand are where agreements go wrong. Use the tags and the contract always matches the booking.

Default signature count

Each template carries the number of signatures it expects. If your agreement needs the renter and a facility manager, set it to two and every booking using this template starts with two signer rows.

Setting a default template

Mark one template as the default and it is pre-selected on new bookings. Most venues have one main agreement and a handful of variants.

Using a template

On a booking's Agreement tab, pick a template. The merge tags resolve and the result is stored on that booking.

Rendered agreements are frozen

Editing a template does not rewrite agreements already rendered onto bookings. That is deliberate — a signed contract must not change because somebody edited a template afterwards.

To apply a change to an existing unsigned booking, re-pick the template on that booking.

You can also edit the rendered agreement on a single booking before sending, for the rental that needs a clause the template does not have.

Suggested templates

Most venues want a small set:

  • Standard rental agreement — the main one
  • Nonprofit / community rate — different fee language
  • Recurring booking agreement — for the club that meets monthly
  • Vendor agreement — for the Fairground side
