Entries ​

An entry is one exhibitor's item in one class. Entries are their own records — not rows in a form submission — so they can be checked in, judged, ranked, and paid.

How entries arrive ​

The office adds them directly from the Entries screen — for the exhibitors who bring a paper form to the desk.

Exhibitors enter online through the public entry page.

Both doors enforce the same entry limits.

The public entry page ​

Each event gets its own tokenized entry URL you publish or link from your website.

  • Returning exhibitors keep their number. Enter as somebody who has entered before and their existing exhibitor number is reused, which is what makes year-over-year history work.
  • The catalog is browsable — division, department, section, class — with all applicable rules shown before they commit.
  • Limits are enforced as they enter, not after.
  • Fees are collected by card, or deferred to check-in — a per-event choice.
  • A receipt email goes out, with printable claim tags.

Claim tags ​

Every entry produces a printable claim tag carrying the QR code, the reference code, and the exhibitor number — but not the exhibitor's name. The tag goes on the item; the name never does.

Check-in ​

Check-in runs on an iPad in a browser at the receiving table. Scan the QR code on the claim tag and the entry is checked in.

If fees were deferred, they are collected here.

Scanning beats a printed list for a queue of two hundred people with jars of honey, and it means the office knows in real time what has actually turned up versus what was entered.

The entries screen ​

Every entry for the event, filterable by division, department, section, class, exhibitor, and status.

From here you can:

  • Add entries by hand
  • Reprint claim tags
  • Correct an entry that was made against the wrong class
  • Export to CSV

Fee handling ​

Entry fees are held on the entry, not in the payments ledger. Entry money and invoice money are tracked separately today — an entry fee does not create an invoice.

Season reset ​

At the end of the season, export before clear takes a full CSV and then clears the season's entries, keeping:

so next year starts from the same shape with the same people.
